Taylored Systems is hiring for the following positions.

Low Voltage Support Specialist

 The Low Voltage Support Specialist provides project coordination and administrative support to deliver departmental projects within the established budget and time line.  The position is a member of the Low Voltage Service and Installation team and participates in project development, maintains and updates project information and disseminates project information for work group.   In this role, the Low Voltage Support Specialist is responsible for assisting in the management of Taylored System’s Low Voltage project installations as well as coordination of Low Voltage service work.  This position provides a wide variety of executive-level administrative support to the Vice President, Project Manager and the Low Voltage Service and Installation team.  Assists with updating project spreadsheets and blueprints, preparing labels and completing project close out documents.   Also, produces various operating reports for the Low Voltage Installation and Services department.  Serves as the administrative liaison for all internal and external inquiries.

Essential Job Functions:

  • Manages Customer interaction from contract submission stage until project completion.
  • Coordinates and maintains the Low Voltage Service queue board.
  • Tracks and reports team hours and expenses.
  • Obtains quotes, creates purchase orders, and arranges for delivery & pick up of lift rentals.
  • Labels blueprints, either paper copy or electronic copy.
  • Prepares cable labels using various labeling programs.
  • Collaborates with other departments in order to facilitate and gather pertinent information, updates and edits to the project plan for each project.  Manages multiple projects at one time.
  • Facilitates communication and timely follow up with team members, customers, and other appropriate parties to solicit status reports and progress on projects.
  • Manages input to various reports including project budgets, blue prints and other project documents, etc.
  • Assists with material take-offs as needed.
  • Downloads cable test results from Fluke tester and reconciles to blueprints
  • Prepares closing documents, ie. As built drawings using a PDF editor, file warranty paperwork, customer delivery and acceptance documents, Contract Change Forms, etc.
  • Potential to assist with training customers on access control and video surveillance.
  • Creates and modifies various documents using Microsoft Office.
  • Maintains Outlook calendar(s) in current and accurate status.
  • Coordinates travel arrangements as needed.
  • Prepares meeting materials and attends regular project management meetings
  • Records minutes at various meetings and archives them accordingly.
  • Performs general clerical duties to include but not limited to: photocopying, faxing, mail distribution and filing.
  • Performs all other related duties as assigned.

Requirements

·  High school diploma or equivalent.

·  Three or more years of administrative support experience in a project management, or a comparable environment. 

·  Ability to interact one-on-one and consult with all levels of management.

·  Intermediate proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, Project and Outlook required.

·  Strong attention to detail and excellent organizational skills required.

·  Excellent oral and written communication skills to a variety of stakeholders.

·  Ability to learn and navigate multiple systems.

·  Ability to work under strict deadlines and extra hours if needed on assignments.

·  Must have the ability to multi-task in a fast paced and deadline driven environment.

·  Must be able to maintain professionalism and a positive service attitude at all times.

Preferred Education, Experience & Skills 

·  Associates or Bachelor's degree 

·  Minor bookkeeping/accounting experience.

·  Five or more years of related experience.

·  Experience with Microsoft Visio a plus

·  Some technical aptitude is a plus

Physical & Mental Requirements:  

·  Ability to lift up to 25 pounds

·  Ability to sit for extended periods of time

·  Ability to stand for extended periods of time

·  Ability to use fine motor skills to operate office equipment and/or machinery

·  Ability to receive and comprehend instructions verbally and/or in writing

·  Ability to use logical reasoning for simple and complex problem solving
